Terms & Conditions

Please read these Terms and Conditions carefully before booking any service with SeetaNarayan Travels. By confirming a booking, you agree to be bound by these terms. These terms apply to all tour packages, taxi bookings, and ancillary services provided by SeetaNarayan Travels.

1. Definitions

In these Terms and Conditions:

  • "Company", "We", "Us", "Our" refers to SeetaNarayan Travels, registered in Rudraprayag, Uttarakhand, India.
  • "Guest", "You", "Client" refers to the person(s) who makes a booking with the Company.
  • "Tour Package" means any pre-arranged combination of transport, accommodation, meals, and guided services offered by us.
  • "Transportation Service" means vehicle hire — cab, Tempo Traveller, bus — provided without a full tour package.
  • "Booking" means a confirmed reservation for any service, evidenced by receipt of advance payment and written confirmation from us.
  • "Itinerary" means the day-by-day plan for a Tour Package as communicated at the time of booking.

2. Booking & Payment

All bookings are subject to availability and are only confirmed upon receipt of the required advance payment and our written confirmation (sent via WhatsApp or email).

  • Tour Package Advance: An advance payment of 40% of the total package amount is required to confirm a tour package booking.
  • Transportation Advance: An advance payment of 20% of the total fare is required to confirm a vehicle/cab booking.
  • Balance Payment: The remaining balance must be paid in full before tour commencement(i.e., before the vehicle departs or the first service is provided). Failure to pay the balance on time may result in cancellation of the booking without refund of the advance.
  • Payment Methods: We accept UPI, bank transfer (NEFT/IMPS/RTGS), and cash. All digital payments must be made to the official bank accounts provided by our team. Do not make payments to any third party claiming to act on our behalf.
  • Price Validity: Quoted prices are valid for the period specified in the quote. Rates are subject to change due to fluctuations in hotel tariffs, fuel prices, government taxes, or regulatory changes. We will notify you promptly of any material changes before your booking is confirmed.
  • Group Pricing: Special group pricing (for 10 or more adults) is available. Group rates require a minimum group size to be maintained; if the group size drops below the agreed minimum, rates may be revised accordingly.

3. Cancellation & Refund Policy

We understand that plans can change. Our cancellation policy is designed to be fair while accounting for the non-recoverable costs we incur when reserving vehicles, accommodation, and permits on your behalf.

  • Voluntary mid-tour cancellation: Once a tour has commenced, no refund will be applicable for any unused services if you voluntarily choose to terminate the tour early, regardless of the reason.
  • Transportation bookings:The advance payment (20%) for cab/vehicle-only bookings is non-refundable in all cases. Cancellation with more than 48 hours' notice will result in no additional charge; cancellations within 48 hours may attract an additional fee.
  • Refund processing time: Approved refunds will be processed within 7–10 working days to the original payment method.
  • Transferability:Your booking may be transferred to another person at no extra charge with at least 7 days' written notice, provided the replacement guest meets all applicable requirements.

4. Changes to Bookings

  • Date changes by Guest: Changes to travel dates are subject to availability and may incur additional charges (e.g., revised hotel rates, permit re-issuance fees). Requests for date changes must be made in writing (WhatsApp or email) at least 14 days before the original departure date.
  • Changes by the Company: We reserve the right to make minor adjustments to itineraries, accommodation, or vehicle types where operationally necessary (e.g., road closures, hotel unavailability), provided the overall value and quality of the tour is maintained. We will notify you of any significant changes as early as possible.
  • Significant changes by the Company: If we are forced to make a major change (e.g., cancellation of a key destination entirely), you will be offered the option of an alternative itinerary, a full refund, or a credit for a future booking.

5. Weather, Force Majeure & Safety

Travel in the Himalayan region involves inherent risks including but not limited to extreme weather, high altitude, difficult terrain, and unpredictable road conditions. By booking with us, you acknowledge and accept these risks.

  • Force majeure events: We shall not be liable for any failure or delay in providing services due to circumstances beyond our reasonable control, including: natural disasters, earthquakes, floods, landslides, avalanches, acts of God, epidemics, government-imposed restrictions or curfews, road closures, strikes, civil unrest, or acts of terrorism.
  • No refund for force majeure missed services: If services are missed due to force majeure events, no refund will be issued for the affected portion of the tour. However, we will make every effort to arrange alternative services at no extra cost where possible.
  • Additional expenses: Any additional expenses arising from force majeure — extended hotel stays, alternative transport, food — shall be borne by the guest.
  • Safety-based decisions: Our drivers, guides, and team leaders have the authority to modify or halt any activity if, in their professional judgment, it poses an unacceptable risk to the safety of the group. Such decisions are final and non-negotiable. No refunds are due for services not provided as a result of safety-based decisions.
  • Health fitness: Guests are responsible for assessing their own health and fitness for the chosen tour. Tours to high-altitude destinations (Kedarnath, Tungnath, Badrinath, Kuari Pass) involve significant physical exertion. We strongly recommend consulting your physician before booking if you have any pre-existing medical conditions.

6. Yatra Registration & Government Permits

For destinations requiring official registration or permits (such as Char Dham Yatra registration, Kedarnath biometric registration, and forest entry permits for trekking routes), the following applies:

  • Yatra registration: We assist with the Char Dham Yatra registration process as part of our pilgrimage packages. A valid government photo ID (Aadhaar card, Passport, or Voter ID) must be provided by each traveller at least 14 days before departure.
  • Permit fees: Forest entry fees, national park permits, and local entry charges are included only where explicitly mentioned in the package inclusions. Any additional charges levied by government authorities not specified in the package will be borne by the guest.
  • Daily pilgrim quota: The Uttarakhand government imposes daily limits on the number of pilgrims allowed at certain shrines (e.g., Kedarnath). If your slot is cancelled due to quota restrictions beyond our control, we will endeavour to reschedule. Refunds due to quota denial will be assessed on a case-by-case basis.

7. Guest Conduct & Responsibilities

  • Respectful conduct: All guests are expected to behave respectfully towards fellow travellers, our staff, local communities, and the sacred sites we visit. Disruptive, offensive, or dangerous behaviour may result in removal from the tour without refund.
  • Dress code at religious sites: Appropriate clothing is mandatory at all temples and pilgrimage sites. Guests must cover their shoulders and knees. Footwear must be removed at temple entrances. Our guides will advise on specific requirements at each site.
  • Environmental responsibility:Littering in the Himalayas is both illegal and environmentally harmful. We operate with a strict "leave no trace" policy. Please carry your waste to designated disposal points.
  • Compliance with local laws:Guests must comply with all Indian laws and local regulations at all times during the tour. Any fines or legal consequences resulting from a guest's non-compliance are their sole responsibility.
  • Accurate information: You are responsible for providing accurate personal information at the time of booking. Incorrect information that causes problems (e.g., rejected Yatra registration) is your responsibility and does not entitle you to a refund.

8. Photography & Media

  • Photography during tours: Personal photography for non-commercial purposes is generally permitted. However, photography is prohibited inside many temple sanctum sanctorums and other sensitive areas. Our guides will advise where photography is not allowed. Please respect these restrictions.
  • Drone usage: Flying drones requires prior permission from local authorities in most Himalayan areas. Guests who wish to operate drones are solely responsible for obtaining the necessary permits and complying with all applicable regulations. We do not assist with drone permit applications.
  • Photographs of our services: SeetaNarayan Travels may use photographs taken during tours for promotional purposes (website, social media). If you do not wish your photograph to be used, please notify us in writing before the tour departs.

9. Our Liability

While we take every precaution to ensure your safety and comfort, our liability is limited as follows:

  • We are not liable for any loss, injury, damage, or expense arising from circumstances beyond our control including but not limited to force majeure events, actions of third-party suppliers, or the personal decisions of guests.
  • Our liability for any proven failure on our part is limited to the total amount paid for the affected service. We shall not be liable for consequential, indirect, or special losses.
  • We strongly recommend that all guests purchase comprehensive travel insurance covering medical emergencies, trip cancellation, and evacuation from remote areas before departure.
  • We are not responsible for the safety of valuables left unattended in vehicles or accommodation.

10. Governing Law & Disputes

These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts in Rudraprayag, Uttarakhand, India.

Before initiating any legal action, we request that you contact us directly to attempt to resolve the matter amicably. The majority of concerns can be resolved quickly through direct communication.

11. Updates to These Terms

We reserve the right to update these Terms and Conditions at any time. Updated terms will be posted on this page with a revised "Last updated" date. Your continued use of our services after changes constitutes acceptance of the updated terms.
